Social Security Registration

Where do I register my employees for social security?

  • Detailed description

    If you employ employees, you must register them for social security at the beginning of the employment relationship. The registration includes the

    • Health insurance
    • long-term care insurance,
    • Pension insurance and
    • Unemployment insurance

    Note: The statutory health insurance funds (collection agencies) collect the total social security contribution and forward the individual parts to the competent authorities. In the case of marginal employment, the mini-job centre at the German Pension Insurance Knappschaft-Bahn-See is the collection point.

    You must register employees who are legally insured in health, long-term care insurance, pension insurance or under the law on employment promotion. However, they must also register employees who are exempt from insurance due to marginal employment. These are short-term employees who work for you for a maximum of three months or 70 working days per year, as well as low-paid employees.

  • Documents

    To report, you will need the following information:

    • social security number (assigned by the pension insurance institution); Employees who do not yet have a social security number will automatically receive one from the health insurance company when they register for social security for the first time
    • Data of the employee, such as name and address
    • Reason for the report
    • Your company number
    • Company number of the responsible collection agency / health insurance company
    • Information on contribution groups, type of activity and nationality
    • Certificate for encrypted data transmission

  • Process

    You may only transmit the social security reports and the contribution statements of your employees to the data collection points of the health insurance companies / collection point by means of secure and encrypted data transmission by means of system-tested programs or machine-generated filling aids.

  • Deadline
    • within 6 weeks of commencement of employment
    • immediately, but at the latest when taking up employment in activities in certain sectors of the economy (construction, restaurants and accommodation, passenger transport, freight forwarding, transport and related logistics, fairground trades, forestry companies, building cleaning companies, companies participating in the construction and dismantling of trade fairs and exhibitions, meat industry, prostitution industry); this immediate notification shall be sent directly to the Data center of the pension insurance (DSRV) transmits and does not replace the registration within six weeks
