School report replacement

The replacement certificate is issued by the responsible school. The issuance of the certificates at the respective attending school takes place on request. Certain documents are required.

  • Detailed description

    In accordance with point 7 paragraphs 1 and 2 VV certificates, replacements for destroyed or lost certificates as well as copies for certificates in the event of a name change, insofar as there is a special interest for them, are produced on request by the school issuing the original. If the issuing school no longer exists, the copy is made by the state school office, in whose supervisory area the issuing school was located. Sentences 1 and 2 also apply if a person concerned has been found to have changed his first name in accordance with § 1 paragraph 1 of the Transsexual Act by a final decision of the district court responsible for the place of residence on the occasion of the changed affiliation to a gender and a copy of certificates is requested.

    If duplicates, copies or copies are not available, the state education office will produce a copy on the basis of other documents such as grade books and examination documents, if a clear reconstruction is possible.

    You have lost a degree, leaving certificate or other certificate relevant to you. Other cases are destroyed certificates, a name change if there is a special interest or if the first name has been changed at the competent district court on the occasion of the changed affiliation to a gender.

  • Fees

    There are usually costs. Usually, the issuance of a replacement certificate and additional certified copies are subject to a fee. Regardless of whether these are drawn up by the school authority or whether this official act is carried out by the school management on behalf of the school authority, the fee statutes of the school authority are decisive. According to § 4 paragraph 1 CISA, municipalities and associations of municipalities may charge fees. According to § 2 paragraph 1 CISA, levies may only be levied on the basis of a statute. The statutes must specify the circle of debtors, the facts giving rise to the levy, the scale and rate of the levy and the date of its due date. According to § 5 paragraph 1 CISA, administrative fees may only be charged if the performance of the administration has been requested by the party concerned or if it directly benefits him.

    For official acts of the MBJS and the subordinate areas such as the state school offices, fees are charged according to the fee tariff in the fee schedule MBJS. According to point 8.1 of the fee tariff in the annex to the fee schedule MBJS, an administrative fee of € 40.00 is currently charged for duplicate copies of school/final certificates in accordance with § 58 BbgSchulG in accordance with § 58 BbgSchulG in accordance with § 58.m number 7 of the administrative regulations on school certificates, § 11 NschPV.

  • Process

    You should apply for a replacement certificate personally at the former school. The school must verify your identity in an appropriate manner (e.B. by presenting proof of identity). Then, as far as possible, a replacement certificate will be issued to you. The replacement certificate then takes the place of the lost or destroyed original.

  • Duration

    A few days to a few weeks.

  • Deadline

    There are no deadlines for applying for a replacement certificate. However, the applicable retention and archiving periods should be taken into account as far as possible, as it may be after their expiry that a replacement certificate can no longer be issued.

    The respective school is responsible for issuing the replacement certificates within the retention obligation. Subsequently, the responsible state education office is responsible for issuing the replacement certificates.
